I have a question about the conference. Who can I ask?

If you are a member of one of the organizing regions, please send an email to your RA (NetherlandsFranceBelgiumGermany or Switzerland) who will be happy to help. If you are from another region, feel free to send an email to the Europolitan Committee. Once at the conference, there will be plenty of people walking around wearing Volunteer badges just waiting to help.


How do I get to Brussels and the conference center?

Brussels is easily accessible by train, planes and automobiles. We've got maps and directions here.


How can I register for the conference?

You can register for the conference on this website. If you are an SCBWI member, you should log in first to get the members' discounted rate. If you are not a member, you can consider joining to get the discount, or you may register as a non-member.
Registration opens January 22, 2017.


How much does the conference cost?

There are two payment options: PayPal or bank transfer. Due to PayPal fees, a €10 surcharge has been added to conference tuition for those who wish to pay this way. To pay by bank transfer you must wire the COMPLETE amount, including any consultation fees, within four days to:

If the amount has not been received within four days your registration AND reserved consultation are at risk of being canceled.

When do I need to book my place by? What about other deadlines?

Early Bird registration begins January 22, 2017 and ends February 28, 2017. 

Other deadlines:

Manuscript or Portfolio individual consultations: March 31, 2017 


I’ve got an idea for the next Europolitan conference. Is there anyone I can pass it on to?

Sure – all ideas are welcome! You can either grab a volunteer while you’re at the conference, or drop the Europolitan Committee an email afterwards.

I have booked a place at the conference, but I can no longer attend. Can I get a refund?

In extenuating and rare circumstances it may be possible to issue a refund. Anyone needing a refund should send an email to Europolitan Committee outlining their reasons, and we’ll do our best. Our refund policy can be found here.

Is the cost of accommodation included in the price?

No – you’ll need to make your own arrangements. The conference will be held just south of Brussels and is about half an hour from the Bruxelles Central station by train. Brussels has a multitude of hotels, so you are sure to find something in a convenient location that fits your budget. Hotel accommodations range from simple 1-star rooms to the ultimate 5-star luxury.

We have negotiated a special conference price at the Novotel right off of the Grand Place and just around the corner from the Bruxelles Central train station.

Prices are:

  • 99/night with breakfast for a single (city tax of €4.24/night/person not included)
  • 114/night with breakfast for a double* (city tax of 4.24/night/person not included)
  • *Please note: the double is one large bed and a sofa-bed situation, not two twin beds

What meals are included?

Lunch will be provided on both Saturday and Sunday. Drinks and nibbles will also be available at the Saturday night party. The dinner after the Friday night Scrawl Crawl is not included in the price, nor is the brunch on Monday for those who attend the Peer Critique Café. 


Where will I be able to find tea and coffee?

Refreshments (tea, coffee, water) will be provided all day. Lunch will also be provided on both Saturday and Sunday.


Who should I contact about special food needs?

Vegetarian, vegan and gluten-free lunches will be provided by special request. Please mark that option when you register.

What is the Friday night Scrawl Crawl and dinner?

A Scrawl Crawl is an optional pre-conference chance for you to take a brief tour of Brussels with other conference attendees and select faculty. Hopefully, beautiful and historic Brussels will inspire you to write or draw your impressions. Following is a dinner in a local restaurant at your own expense. All in all, it's a great chance to meet fellow attendees and to get inspired for the entire weekend.


What is the Peer Critique Café?

The critique café happens on the Monday after the conference. It’s an optional extra (all food and drinks at your own expense), and is an opportunity for you to meet fellow writers and illustrators and get some feedback on your work in a fun, informal environment. This is also an opportunity to find critique partners. For those attending, further details will be provided nearer the time. If you feel you should have received details by now and haven’t, please send an email to the Conference organizers.

How can I get an individual manuscript or portfolio consultation?

There is a limited number of one-on-one slots with agents/editors available, which you can book when you book your place in the conference. One-on-ones take place on Saturday and Sunday at appointed times. Instructions for submitting work, etc., will be sent out in your confirmation email.


Is review feedback written down as well as verbal?

Sometimes a reviewer will annotate your work, sometimes they'll write separate notes and sometimes it will be just verbal! 


Does getting a review with an agent/editor mean that they will take my work on?

The feedback is intended to help you better learn your craft and understand how your work might be more marketable with that publisher or agent. If they like it, they may well ask to see more of it!


Will I be told of my time slot ahead of the conference?

No. Unfortunately, there are too many reviewees to be able to do this and the timetable is subject to juggling up until the last moment. All critique information (critiquer, time, place) will be in your registration packet when you sign in on Saturday morning.

I am a PAL member and would like to sell my books.

We are offering PAL members a chance to sign and sell their books at the on-site book store on Sunday evening from 17:15 – 18:30. Only PAL members who are registered for the conference may participate and will be responsible for their own sales. For more information please email the Europolitan Committee


What is the Portfolio Showcase Contest?

Two Portfolio Showcase Awards will be given to the winner and the runner-up of the contest. Prizes will be announced shortly. Only current SCBWI members who are registered for the Europolitan Conference are eligible. More information here.
